Interim Project Coordinator - Healthcare Consulting & Software

Location: St. Paul
Pay: $40-$45/hour (DOE)
Schedule: Monday-Friday, 8:00am-5:00pm or 8:30am-5:30pm (flexible)
Type: ~4-month contract covering medical leave with potential for permanent placement


About the Role

We are seeking an experienced Project Coordinator to provide administrative and project support for multiple healthcare consulting engagements. This role ensures smooth day-to-day operations, accurate financial tracking, and timely delivery of client deliverables. You will work closely with consulting teams, hospital directors, and health system managers in a fast-paced, remote-friendly environment.


Key Responsibilities

  • Manage and track multiple complex projects simultaneously using Smartsheet and other project management tools.
  • Maintain project boards, monitor milestones, deliverables, and timelines.
  • Process and approve consultant timesheets, ensuring accuracy and compliance.
  • Handle monthly billing, invoicing, and project revenue tracking for financial reporting.
  • Coordinate and lead virtual client meetings with healthcare executives and managers.
  • Schedule meetings, manage calendars, and facilitate communication across internal and external teams.
  • Support client education programs, including live webinars, on-demand courses, and self-paced training.
  • Prepare, format, and proofread client-facing reports, presentations, and internal documentation.
  • Ensure strict HIPAA compliance in all activities.

Qualifications

  • 3+ years of experience in project coordination, administrative support, or operations management.
  • Proficiency with Smartsheet or similar project management platforms (highly preferred).
  • Healthcare industry experience strongly preferred; strong candidates from other industries will be considered.
  • Excellent organizational, communication, and time management skills.
  • Professional presence and confidence in virtual client interactions.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • High school diploma or equivalent required; additional education a plus.
